Ability to create add-ons for room bookings

For example, when a member reserves a reservable resource and the box pops up to give the reservation a title, it'd be cool to have options on that same pop-up for them to add-on options like cable, coffee, conference call system, projector, etc. That way the community manager knows what they'll need and can prepare the room for them before-hand. Plus, it's another way to increase revenue for the space.

Can we add a field for pronouns that shows on profiles for those who want to add theirs?

Add available days to reservable resources

Currently reservable resources have available times that you can set a range for. It would be great to be able to have control of the days of the week things are available.

For example, we want to use Proximity for making appointments for mentoring, but mentors are only available 2hrs per week, same day & time every week. I can control the time range something is reservable, but it would be immensely helpful to have something only available on certain days as well.

Follow up emails for custom charges

Currently members only receive 1 email for custom charges. Automatically sending follow up emails or invoices if the invoice has not been paid would be helpful.

Take Credit Card Payments without Registration

Slightly similar to an existing post, but different in my mind. We've found the need to take a credit card payment without requiring registration of a member through Proximity Space. i.e. take the credit card details over the phone and administrator create/process the one-off charge. For example, a member was released by their parent company but the company will leave their gear on the dedicated desk for now, so they plan to pay for the month. We don't want to make their corporate manager register for the space just to take the payment. I am sure there are other examples where registration and self-service is not ideal.

Multiple payment options need fine-tuning

We have numerous members who need to be able to charge different bookings to different payment sources. They've been able to add multiple cards and select a default, but there seems to be no way for them to select which card is charged prior to making a conference room booking. Similarly, from the manager portal view, we can only view a single payment source for any of our members. When issuing a custom charge, we have no way of selecting the appropriate card for payment.

Resend an invoice via email.

There are times when I need to resend an invoice to a client via email. Rather than having to tell them to go into their account and pay what's owed, I wanted to be able to resend the email where they can just click on a link to be able to pay it online. Downloading and sending it as an attachment doesn't solve that problem.

More Reporting Options

I understand that for Proximity perspective, the asset is the community members. For landlords, however, the asset is the physical space (suites, desks, conference rooms). Specifically, occupancy percentages (financial or physical), amenity utilization rates, rent roll by suite or desk, and aging reports showing an actual balance owed by each member over custom report period of months or years. We can run a report for the month, however it should include pending invoices. A report for upcoming invoices is a simple one.

Discount Code Functionality

As of now, to my understanding, "Max Uses" applies to how many times the code can be used in general. So the same person can come back and use the same code multiple times until the Max Uses hits 0. Can we change this to where each user can only use each discount code one time, but the code overall does not have a limit regarding how many different users access it? I hope this makes sense.

Send emails with refunds

Send emails to members when refunds are processed. This would be really helpful to keep communication to the members clear.

Guest Count

It would be great for an option while making a reservation, to have a guest count. We have members often making reservations and we always follow up with an email asking for how many guests they are expecting so we can make sure we are prepared. Also with covid, our rooms now have room capacity limits in place so having that option available would be SO great.

Support advanced conference room bookings using credits

Many of our members need to book meetings out months, if not a full year into the future. We want to encourage and support them in this. The problem is that Proximity isn't currently applying the members' free conference room credits to future months. i.e. If a members has 2 free hours of conference credits each month and books one 2-hour meeting each month from now until July, no charges should be made to his/her credit card. Instead, we've had multiple members book months out, get charged nearly $1000 on their credit card, and become (understandably!) very frustrated. The additional frustration for us is that we're also losing revenue -- we refund the amount charged, but the Stripe processing and Proximity fees aren't (I don't think) refunded to us. Our workaround is increasingly to give members a 100% discount code to use for all of their bookings, and we're then doing a manual tally and consolidated custom charge for all bookings in the month at month's end. #ugh

Don't automatically cancel memberships

We're having a recurring problem where every month a few members need to update payment info. All of the billing attempts fail, then their account is automatically downgraded to community member. In our case, the problem is that all of these members intend to continue with us--they're just out of town or otherwise don't relate to this quickly enough. When they add back a subscription, it gets prorated, even though they've had continuous access. The only way for us to manage this is for us to go have a conversation and then manually bill them for the first 3 or 5 or 10 or whatever days it's been. We should be sent a notification asking US (the space managers) whether to cancel the subscription or to leave the invoice open. I'm sure the current approach costs us (and others) money, in the all to likely scenario that we might not remember to go back and invoice for the missing amounts.

Allow offline payments for reservable resources

If a member is set up for offline payments, it would be nice to have the option to also allow their reservations to be billed via invoice rather than via credit card or ACH only.

List outstanding amount on unpaid invoices

Invoice(s) for members that remain outstanding after the 3 charge attempts list the outstanding amount as $0.00 and included VOID next to the invoice's line item(s). See 1st image attached. This has been confusing for our members as it leads them to believe that the amount owed is $0.00 after the charge attempts have failed. Would it be possible to list the outstanding amount as the amount the member still owes, not $0.00? Thanks!

One-time invoice generation for non-members

We have a lot of large, non-member companies rent our conference rooms. It'd be great to be able to generate one-time invoices for such rentals without someone from the company registering for proximity, going into the portal to select the date/time they want, etc. Ideally, we could generate the invoice in Proximity and send to the contact's email for online payment completion.

Ability to add and delete items on an invoice before saving or sending

At the moment it looks like we can add ONE custom charge at a time. We often sell events as packages (Event Coordinator, Catering, A/V Equipment, etc), each item in the package should have its own line item so clients can see the total cost breakdown. At the moment it looks like none of the individual data points can be saved onto one invoice, we have to add the total on the invoice and provide the breakdown via email, it's awkward, feels incomplete and unprofessional. (I'm new here, so if I'm missing something let me know!) Ideally: When creating the original invoice - The "Create Custom Charge" button on the member billing page would be reworded to "Create Custom Invoice" The invoice page would have an "Add Line item" button where you could add as many items as needed until the invoice is complete, then the "Invoice "Member Name" button would be pressed to provide the full invoice. When editing an existing invoice - It would be ideal to have an "Add line item" button at the top of the manage invoice page and an "edit" button attached to each existing line item.

Cancelled Booking Auto-Refund

Hi team, Can we add a refund policy to the reservable resources and have that auto-refund if it is within the allowed cancellation time? I'd like to have a period where the booking fee is refundable and when the booking fee is no longer refundable, like less than 48 hours out. The email notification update that is coming for cancelled bookings will help, but I think this being automated would be a great feature.

Room Reservation Cancellation/Change

Have a way for members to change their bookings in reservations.

Allow multiple members to book more than one resource.

Allow for one reservable resource to be booked multiple times. For example, a room may have 6 bookable desks, it would be nice to create one resource and allow it to be booked several times.

Day Rates for Conference Rooms

We offer a full day rate for booking a conference room that is slightly cheaper than the hourly rate (ie. $25 per hour or $160 for a full day). At the moment this cannot be booked by a member via the portal, it has to be done by a space manager and then a custom charge created. Maybe an check box for a full day rate (between the hours of 9am-5pm) as well as the slider on the booking page?

Reservable Resources - Note Area

It would be helpful if there was a way for us to add notes for reservable resource bookings. For example, a conf room which is booked at our day rate, and the calendar automatically blocks off 8am-5pm, but they want the space starting @ 7am and only until 3pm. Currently I set up outlook appts with the specific information for the conf rooms and training space. It would be great if notes could be seen by managers, when opening the reservation info. Thank You!

Interactive Floor Plan

In an effort to better manage our space as a whole, it would be fantastic if we had a map of our space that showed occupied or available desks. It would be great to be able to assign desks or private offices to members or teams, as well as assign any corresponding key, or any other relevant info. A hefty task, but could be game-changing!

Multiple Memberships from One Member

I have an owner of a company that has two Private Offices. I would like to be able to just select the multiple offices (memberships) she has under one profile instead of having to create her her own membership type. She likes to have invoices that are detailed and has different line items for what they're being charged.

Reserve items that go with space reservations

For example, if someone wants a projector to be in a conference room they booked. If there's items that can go with a reservable space, they could check that box when they make the reservation (projectors, white boards, even things that could be charged for like coffee)

Full Day and Half Day Reservations

We would prefer to have members reserve our meeting rooms for either a 1/2 or full day, not hourly. I have figured out how to use a workaround, however, the pricing is not clean. Can you add these options please?

Going back and forth on dashboard

When I'm looking for something specific, ie. custom dates on the dashboard. When I click on the event to look at it and arrow out to go back, it takes me right back to the current month's invoices on the dashboard, so I have to put the custom dates in again, and so on. Make Reservations "reason" question customizable.

When members book a reservation for a conference room, office, etc it asks for the "reason" of the booking. This then is loaded onto to the calendar. It would be nice to customize this so that we do not view our calendars with a bunch of long notes on why the room is being rented instead of just a simple word or name.

Confirmation Page when someone signs up

In between the transaction and sending members to their profile page. Could we have a confirmation page that lets new members know that they are now members and will receive a email from (info)@(spaceurl)dotcom that explains how to get access to wifi and use their door keys if applicable.

Increase size of "Use Punch" button

Several of our punch card users have accidentally purchased day passes because they didn't see the tiny "Use Your Punch" button at the top. We would love for the difference between Punches and Day Passes to be more visually clear to users, as it takes time and hassle for us to individually issue refunds and educate each person.

API tie in for CRM

In addition to using Proximity, we use a CRM to collect info on our customers. It would be AMAZING to be able to tie into hubspot, or salesforce in a similar way that Proximity does for mailchimp.

Please add a way to Ban a member

We have had several incidents where we have had to completely restrict access. Whether it be a termination of a disgruntled employee of a member company, or violation of the rules. We need to be able to specifically electronically ban members. This should include their email, name, and if possible MAC address of their devices.

Private Events

Not all events are public. I'd love for the ability to be able to set private events somehow. There are several ways of doing this... You could password protect the event, which would prohibit anyone without the password to be able to register. You could also only allow certain membership levels to register.. like you do for "member benefits" I think there's probably good use cases for both scenarios
